How do I create a Purchase Order (PO)?
In this article, you’ll read how to create a PO yourself via my.QLS.
The creation of the purchase order
When creating the purchase order, you’ll see the following fields:

Title - Enter the title of your purchase order here. This field is for your own reference only. Previously, it was also possible to add a reference number, but QLS now generates this automatically to ensure every reference number is unique.

Supplier - Enter the supplier(s) for your purchase order here. If the supplier is not yet listed, go to Settings → Suppliers to add them. It is also possible to add multiple suppliers. Multiple shipments - Enable this setting if the purchase order consists of multiple deliveries. This allows you to enter multiple track & trace codes and expected delivery dates. QLS uses this information to create a forecast for the goods and to scan the track & trace codes upon arrival.

Track & trace codes and expected delivery date - Enter the track & trace details and the expected delivery date here. Filling in this information is required.

Pre-order - Enable this setting if you want to allow pre-orders for all products within the purchase order. Please note that this makes the stock in the purchase order immediately available for sale through the integrations.
Once you have filled in the information above, you can add products either manually or by uploading an Excel file. Templates are available on the import page, so you know exactly which format the Excel file must follow.
With this update, it is mandatory to create a purchase order with QLS at least 24 hours in advance, including the correct goods. This helps us prepare properly for incoming goods so we can process them as quickly as possible. If no purchase order has been created, QLS may choose not to process the goods or to process them at a later time.
Adding QLS Inbound labels
After the products have been added, you will be taken to the inbound labels page. Here, you can download the labels that need to be attached to the boxes and/or pallets. We recommend attaching these labels to all boxes you send to QLS, even if they are placed on a pallet. The advantage is that you can later see which products were processed under which label, and QLS can also scan the boxes upon arrival. If the pallet consists of many small boxes, it is also possible to attach a label to the pallet only.
Are you sending the products directly from a supplier? Then share the link with your supplier so they can easily download the labels themselves. The supplier does not need an account for this, and the page is also available in English. Of course, the supplier will not see any sensitive information. The only information visible to the supplier is the reference number and the company name.
